Position Summary

French Consulting is seeking a professional and detail-oriented Medical Administrative Assistant to support the 86th Medical Group at Ramstein Air Base, Germany. The successful candidate will provide administrative and clerical support that contributes to the efficient delivery of healthcare services in a military medical treatment facility.

This position requires excellent organizational skills, exceptional customer service, and the ability to work effectively in a fast-paced healthcare environment while maintaining strict patient confidentiality and compliance with applicable regulations.
 

Essential Duties and Responsibilities

  • Schedule, reschedule, and cancel patient appointments using MHS GENESIS.
  • Verify patient eligibility and coordinate appointments for primary care, specialty, and subspecialty services.
  • Maintain provider appointment templates and ensure scheduling aligns with patient access and readiness priorities.
  • Contact patients regarding missed appointments, recalls, cancellations, and appointment changes.
  • Maintain accurate patient schedules, records, and appointment logs.
  • Enter, review, and update patient information in electronic medical records while ensuring accuracy and completeness.
  • Obtain requested documentation, laboratory results, and medical records for healthcare providers.
  • Support patient panel management by reviewing empanelment, balancing provider workloads, and improving continuity of care.
  • Prepare reports, correspondence, spreadsheets, presentations, and other administrative documents.
  • Answer multi-line telephone systems and provide professional customer service while directing calls appropriately.
  • Operate standard office equipment, including computers, printers, scanners, copiers, and fax machines.
  • Maintain compliance with HIPAA privacy regulations and applicable healthcare accreditation standards.
  • Attend staff meetings, training sessions, and other professional activities as required.
  • Perform additional administrative duties as assigned in support of clinic operations.

Minimum Qualifications

  • High school diploma or equivalent.
  • One (1) year of experience working in a medical office environment (inpatient or outpatient), or
  • Two (2) years of administrative experience demonstrating proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Current American Red Cross Adult CPR/AED certification (or equivalent) with hands-on training. Online-only certifications are not accepted.
  • Ability to read, write, speak, and understand English fluently.
  • Ability to type a minimum of 50 words per minute.

Required Knowledge, Skills, and Abilities

  • Proficiency with Microsoft Office Suite.
  • Experience using electronic medical record systems; MHS GENESIS experience is preferred.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Outstanding customer service and telephone etiquette.
  • Knowledge of HIPAA regulations and patient confidentiality requirements.
  • Familiarity with healthcare accreditation standards, including The Joint Commission (TJC) and AAAHC.
  • Ability to prioritize multiple tasks and work independently in a dynamic healthcare environment.
  • Ability to operate standard office equipment.

Working Environment

This position is performed within a military medical treatment facility at Ramstein Air Base, Germany. The selected candidate will work closely with healthcare providers, clinical staff, and patients while supporting daily administrative operations in accordance with Department of Defense policies and established clinic procedures.
